Manage a Multi Account Implementation

Requirements: Multi Account Subscription

Multi account implementations are often used by International organizations that have dealers or distributors all over world, with multiple administrators managing dealers.  A single Bullseye account is not adequate because with multiple administrators uploading data, data can get overwritten.  A multi-account separates the data into different accounts, so that account administrators can safely administer the data uploads without the fear of overwriting data someone else maintains.

Clone an Account

To use a Multi account, you will first need to call Bullseye to set up your account.  After you receive an email invitation from us, you can create your login.  Once you login you'll see the following:

Account ID: Lets you search by the number of the account

Name: Lets you search by the name of your client/account

Status: Lets you search by different types of accounts: (live, trial, test, demo, sandbox)

Subscription: Lets you search by the different subscription types (e.g. Find)

Usually, when you first login to your multi account, we will have already created at least one of the individual accounts that you or someone within your organization will manage.  The created account(s) will have the appropriate subscription set up already, and oftentimes you will be able to clone these accounts instead of creating accounts from scratch.  This saves you time.  It is important that you configure your initial account as completely as possible prior to cloning in order to maximize efficiency. To clone an account, select the clone account option as in the example above (If you are going to create an account from scratch, see the instructions for that in this article). 

You will see a screen similar to below:

Account To Clone: Select the account you would like to clone.

New Account Name: Create a unique name to distinguish it.

Subdomain: Create a unique subdomain (it must be unique, if your subdomain has been entered by another company, you'll get an message that requests a different entry).

Email Address: You can enter an email address for an account administrator that will manage this account.  Other administrators may be created later if necessary.

Clone These Elements: Choose items to clone, if you want them to be carried over into the cloned account.  The items you can clone include: Territories, Categories, Attributes, Company Names, Emails (emails that are used Lead Manager accounts, or Interfaces. Make sure that you have these items created in the initial account first, before cloning. 

Note that when you clone an account, you will need to set up mapping for each new cloned account separately.  This means that each account will require a Google API key, or Mapbox token.  Usually, clients use the same key or token for the multiple accounts. See the mapping set up links at the bottom of this article.

Set Up an Account Group

A key feature that comes with the Multi Account subscription is the ability to divide your accounts into groups, and assign the groups to specific users.  You can organize your accounts conveniently and assign users selectively to groups or sub groups.

To set up an account group, go to Accounts > Groups on the top left.  You'll see the following:

Select Add Group. You'll see the following screen under Group Details:

Group Name: Simply name the group as appropriate

Sub-Group Of: Allows you to create a sub group beneath a selected parent group (you can assign users to only have access to a sub group).  

After you have configured the Group Details, select the Accounts tab, then select Assign Accounts. You'll see the following:

Select the accounts you want to include in the group by selecting the checkbox on the left.  Select Assign Selectedwhen you are done.

The next step is to assign users to the group.

Assign a User to a Group

To assign a user to a group, go to Users on the left side, and select Add User. You'll see the following: 

User Role: Select Account Group User

Username: Type in the email address of the person who will manage the accounts.  Select Invite or Invite and Close to send the email that asks the user to create their own account.

* Note: As soon as you send the email, you should assign them to the Account Group, otherwise when they initially login, they will not be assigned, or have access to the accounts.

Select the Assignments tab, you'll see the following:

Select Add Account Group, you'll see the following:

Select the appropriate group, then select Assign Selected. Now the user will have access to the appropriate accounts when they login.

Create an Account From Scratch

You can select an account by using the Choose Account option on the top right, or select the account from the list at the bottom.

You may have accounts added already, if you created them before subscribing to the multi-account subscription.  If not, you'll need to add your first account. Select  Add Account as the example above:

Under Account Details you'll see the following:

Account Name: Type in the name of the account to distinguish it from other accounts you will enter.

Image: You can include an image for the account (not required).

Address 1-4: Enter an address (not required)

City: Include city (not required)

State/Zip: This is required

Note that the address information varies a bit depending on the country.

Under Contact Details you may include option contact information, (Phone, Contact Name, etc.).  All of this is optional.

Under Bullseye Details you will see:

Status (live, trial, test, demo, sandbox). If you are entering a trial account, you can change the status to live after the 14 day trial period.  Choose the other options as appropriate.

Don't Use Subdomain: Occasionally there are login issues for accounts because the subdomain Bullseye uses for each account is used for both the locator search page, and the login page for administrators.  Checking "Don't use Subdomain" will omit the subdomain from the login page to omit the conflict. Otherwise, leave this blank.

Subdomain: As mentioned above, the subdomain is used for the url of the Bullseye search page and the admin access.  You will need to use a unique subdomain.  If you enter one that is rejected, it may have been entered by another client.  Try again if you get an error. Use only letters in your subdomain. It will be appended to bullseyelocations.com as part of the url. After you select Save at the bottom, you'll see a screen similar to below:

You'll see the information you entered, as well as an Account ID, and Search API key, which are used if the account will be accessing our API. 

You will see the Plan tab. If you select that, you'll get a message that the account is set up for manual billing.  This is the default message for all Bullseye accounts that are not set up with our automated billing.  Your Multi Account will be billable separately from the individual accounts you enter.  

Note: if you create your account from scratch, the account will be entered as a free account, and won't have all of the features of a paid account.  Contact us to change the account subscription.

Multi Account Users

Multi Account Administrator: Has access to all accounts and privileges within the accounts.

Multi Account User: Has access to all accounts and privileges except the ability to create other users.

Account Group User:  Has access to the groups or subgroups you assign to them.  If assigned to a parent group, they will also be able to access the subgroups.  If assigned to a subgroup, they only have access to the sub group.

Each account will need to be set up with mapping (Google or Mapbox) in order to have maps appear for search results for the account's locators.  Refer to the following to set that up:
