Configure Lead Manager Notifications

Customize and configure automated notifications sent by Bullseye in the lead management workflow.

Required: Available in Connect and Optimize subscriptions, and as an add-on to the Find Subscription. Some features require the Text Lead Notifications subscription.

Introduction

Bullseye's Lead Manager includes functionality to automatically send notifications as part of the lead management workflow. When new leads are added to Bullseye, notifications can be sent:

  1. to the lead, acknowledging that their information has been received,
  2. to any user role assigned to a location or the contact email entered on a location, notifying them that a lead has been assigned, and
  3. to one or more designated administrators, in case the lead cannot be assigned to a location.

The Lead Manager workflow includes the following notification templates:

  • New Lead - email sent to dealers when a lead is assigned 
  • New Lead Text - text sent to dealers that have opted to receive notifications via text when a lead is assigned (requires the Text Lead Notifications subscription)
  • Web Lead Thank You - email sent to the lead when he/she submits their information via a web form
  • Lead Import Thank You - email sent to the lead when his/her information is added via the .CSV upload
  • Unassigned Lead - email sent to designated administrators if a new lead can't be assigned to a location

Configure Lead Manager Notifications

Follow these steps to configure and customize any of the lead manager notification templates.

1. Set Lead Manager Test Mode (Optional)

Before configuring and testing emails, place Lead Manager in test mode. This will automatically redirect outbound emails to the addresses you specify and prevent test messages from being sent to actual dealers and others. For instructions, see Set Lead Manager Test Mode.

2. Modify Default Theme

If you haven't already done so, modify the default theme to give your emails the look and feel you want, and to apply your branding. Note that the New Lead Text does not inherit theme styling. For instructions, see Customize Email Themes.

3. Edit Template Settings

  • Click Settings > Notifications.
  • Click the Edit link for the template you wish to modify.

On the  Settings tab, configure the available fields. Note that not all fields are available on all notification templates. On the New Lead Text, settings are not on a separate tab, and the New Lead email supports filtering by Location Groups.

Status
Select Enabled or Disabled. Note that some emails also need to be activated in the form builder ( Interfaces > Forms). See the NOTES below for details.
Theme The design theme to be applied to this template.
To Address One or more email addresses to which this email will always be sent, in addition to any automatic routing (see the notes section below for details).
BCC Address One or more email addresses to which this email will be blind copied, in addition to automatic routing and addresses in the "To Address" field.
From Address The address that the recipient will see as the "from" address; e.g., [email protected].

Note: If your from address includes your own email domain, you will need to create DNS records that allow Bullseye to send emails on your behalf. Please contact Bullseye Locations for assistance.
From Name The name that the recipient will see as the "from" name, associated with the From Address; e.g., Yourcompany Customer Support.
Subject The subject line of the email address; e.g., "Thanks for your interest in Yourcompany!" or "You have a new lead from Yourcompany."
Email Routing Any other recipients of the email according to user role, in addition to automatic routing and addresses in the "To" and "BCC" address fields. The New Lead email also included the option to send notifications to the contact email entered on the location.
Filter (New Lead Email Only) Include or exclude recipients based on Location Group. To exclude a specific group, set filtering to “Location Group != [Location Group Name]”. To limit recipients to a specific group, set filtering to “Location Group = [Location Group Name]”
  • Note that some notifications allow merging of dynamic data in some of these settings. See the NOTES section below for details.
  • Note that some notifications also have to be activated via the form builder for specific lead forms. See the notes section below for details; see NOTES below for details.
  • Click Save to save your settings.

4. Edit Template Body

  • Click the Body tab (Note that the New Lead Text does not have individual Body and Settings tabs)
  • Edit the content of email notifications using the WYSIWYG editor. Remember that background styling, header image, footer text, etc., can be standardized in the theme. See Customize Email Themes for more information. Note that the New Lead Text does not include a WYSIWYG editor.
  • Use the merge fields drop-down in the WYSIWYG editor to insert dynamic content into your email. Available merge options are automatically determined by the template being edited; not all fields are available for all templates. Note that the New Lead Text does not include merge fields.

  • Click Save to save your settings

5. Preview Your Notification

  • Click the Preview button to preview your email content and theme. Note that the preview will not include dynamic merge content.
  • Click the X in the upper right corner of the preview to close the window and return to the edit screen.

6. Test Your Notification

  • Click the Test button to initiate an actual test of your notification content and theme, if using. Note that this test will not include dynamic merge content.
  • Enter one or email addresses (separated by semicolons) to receive the test email, or one or more mobile numbers (separated by commas) to receive a test text.
  • Click Send Test to send the test notification.
  • When you are finished, click Save and Close to return to the list of templates.

7. Live Test Your Notification

With Lead Manager Test Mode turned on, you can safely test your configured emails. For example, go to your locator or your lead form and submit a lead; automatic emails, including dynamic merge content and automatic routing, will be delivered to the addresses you specified when you turned on test mode.

8. Turn off Test Mode

When you are satisfied with your email configurations, turn off Lead Manager Test Mode. Your lead notifications are now live.

Notes for Specific Templates

New Lead

  • Automatically sent to any assigned users for the roles configured on the email settings when a lead is submitted via a web lead form.
  • To also send a copy of the email to any other emails, enter the email into the "To Address" field.
  • Activate this email via the form builder for specific lead forms. See Customize Lead Entry Forms for more information on the form builder.
  • Filter recipients by Location Group by excluding or limiting recipients to specific groups.

Web Lead Thank You

  • Automatically sent to a web user who submits a lead from your website.
  • Use the "To" and "BCC" fields to also send to additional specific addresses other than the web user.
  • Activate this email via the form builder for specific lead forms. See Customize Lead Entry Forms for more information on the form builder.

Lead Import Thank You

  • Automatically sent to leads who are uploaded through the .CSV lead upload. See Import Leads via .CSV for information on importing leads.
  • Use the "To" and "BCC" fields to also send to additional specific addresses other than the lead.
  • Activate this email via the upload admin screen. See Import Leads via .CSV for more information on the .CSV lead upload.

Unassigned Lead

  • Sent only to the email address specified in the "To Address" and "BCC Address" fields when a lead can't be assigned to a location.
